Cancellation Policies
Q: Can I Change the times and dates of my tickets
A: Yes. There are different rules and fees associated with making changes to
your ticket. Most airlines will waive a change fee if you have proof of the
change, which is normally provided through your set of orders. Please review
each airlines policy below for more information. In the end your best bet is
to call the airline directly and explain that your are active duty and that
your travel dates were changed by your command. They will most likely ask
you to provide proof in writing. If you have any trouble with the first
agent you speak with ask For their supervisor. If you have recently
purchased your ticket (within the last 24 hours) you can call my MTG's
Reservation Team at 1.888.853.7449 and they can assist you. MTG will not
charge you a change fee unless it is mandated by the airline. Most tickets
changed within 24 hours will not have a fee.
| American Airlines | Will waive the fees and penalties usually incurred as a result of cancelled or revised travel plans. All American Airlines ticketing and reservation offices have access to a SABRE CRS (central reservation system) where they will find the information listed under N*MILITARY WAIVER. American Airlines will provide guidance on what documents they want active duty and reserve personnel to provide. (Additional information to follow.) |
| American Trans Air | Will indefinitely waive the fee for changing reservations if the service member calls ATA's general reservations number (1-800-AirTran) prior to arriving at the airport and presents a copy of his or her orders at check-in. As appropriate, ATA will create credit files, but it will not provide full refunds. Calling general reservations prevents confusion and ensures a smooth transfer for both the carrier and the service member. To augment these services, ATA offers free travel for immediate family members of military personnel killed or wounded during the military conflict in Iraq. |
| Continental Airlines | Will waive all fees and/or provide refunds upon request if the service member presents official orders showing that they were activated in support of either Operation Enduring Freedom or Operation Noble Eagle. Continental Airlines also offers special aid to the families of military personnel killed or wounded during the military conflict in Iraq. |
| Delta Airlines | Will waive fees and penalties if a service member presents a copy of his or her orders or a message from his or her commander directing a return to duty. Navy personnel using SATO travel offices can have a message appended to their travel record. Service members who encounter difficulties in changing reservations should refer the ticketing agent to Delta Rule G-Display, #12147, page 5. In addition, Delta has established a special program to assist family members of military personnel injured or killed in the military action in Iraq. |
| Frontier Airlines | Will waive all fees and/or provide refunds upon request if the service member presents official orders showing that they were assigned outside the United States or were activated in support of either Operation Enduring Freedom or Operation Noble Eagle. Will also extend the same courtesy to passengers traveling on the same itinerary, in the same record, as the activated service member (e.g., immediate family members). |
| Hawaiian Airlines | Allows date changes without charge on restricted fares when military orders require the passenger to change his or her date of travel. |
| Midwest Express Airlines | Will waive administrative service charges and advance purchase requirements for itinerary changes for tickets purchased for travel from December 1, 2002, through May 31, 2003. However, depending on the itinerary, a possible fare increase may apply. Military personnel should call the Midwest Ticketing Department at 1(414) 570-3961 to make changes and receive further instructions.
At check in, the service member should present a letter or other documentation from the commanding officer (CO) that confirms deployment or a copy of authorized travel orders with the waiver code "YX02OEF/NE", a daytime phone number and a reservation confirmation number.Refunds of non-refundable tickets will be issued for tickets purchased for travel from December 1, 2002, through May 31, 2003. Ticket holders must mail their unused tickets along with the CO letter or authorized travel orders with waiver code to:

| Northwest Airlines | Will refund tickets without penalty or fee upon request if the passenger provides a photocopy of orders relating to Operation Enduring Freedom, Operation Noble Eagle, Operation Iraqi Freedom or a directive advising that leave has been cancelled. |
| Southwest Airlines | No waiver procedures needed. Southwest does not charge a service fee to change tickets. In addition, Southwest will refund advanced purchase tickets for military personnel and family members affected by Operation Enduring Freedom/Noble Eagle. The traveler must provide a copy of their call-up orders along with the ticket or an e-ticket confirmation for ticket-less purchases. Refund requests and documentation should be sent to:

| United Airlines | Will reapply tickets to an appropriate revised or new itinerary, or refund the ticket (in the form of a United Airlines travel voucher or the original form of payment) without service charges for military personnel who are activated for duty. This waiver may also be extended to immediate family members accompanying the service member. (United Airlines defines "immediate family" as spouse, domestic partner, children, parents, sisters, brothers, grandparents, grandchildren, aunts, uncles, nieces, and nephews, regardless of whether the relationship is natural, adoptive, in-law or domestic partner.) United offers immediate family members a Special Care Fare to cover transportation to specified military locations. |
| US Airways | Will allow military personnel affected by U.S. troop movement who hold tickets for travel through March 31, 2003, to apply for a full refund, minus a $50 handling fee. To obtain the refund, military personnel must send a copy of their travel orders as well as a cover letter explaining the nature of the requested refund to:
